Church Board Report to the Congregation – October 2020
The Church Board meets on the second Tuesday of every month, and every month the Board provides a summary report to the congregation in regard to what was discussed and what action was taken. The Board met last Tuesday (October 13th) in the Chapel; here is this month’s report:
After opening with prayer and approving the minutes of the September board meeting, the Board received various REPORTS starting with a financial update from Church Treasurer Ron Strite. We ended September with $94,699 in our General Fund. Pastor Bill then reported that we will be looking for a new two-person team that will come to the church every other week to count the offering. Bill also shared that the Allegheny Conference of the Brethren in Christ denomination is requesting the use of our Auditorium for a special service in early January, and the Board approved this request.
Bill also reported that there have been preliminary discussions regarding the possibility of serving meals “to go” in place of the Community Christmas Dinners that have been held in the gym every December. The Board would like to continue moving forward with this possibility, and tentative plans include reservations that would be made in 15-minute time slots where those in our congregation would come to the church on selected nights in early December to pick up their turkey dinners.
After receiving all of these reports, the Board moved on to numerous ACTION ITEMS.
Nursery Director: The Board voted to place $4,000 in the 2021 Spending Plan for the position of Nursery Director. The Board recognizes the importance as well as the challenges of this ministry, and with the help of outgoing Director Kim Helman, have put together an updated job description that will be posted prior to applications being taken.
Barnabas Initiatives: The Board voted to continue using the services of Warren Hoffman in 2021. Warren leads a ministry called Barnabas Initiatives and is the former National Director of the Brethren in Christ Denomination. Warren meets individually with Pastor Bill each month due to his role as Senior Pastor and attends and participates in the monthly Church Board meetings.
Christmas Eve Services: The Board approved scheduling three services on Christmas Eve (two in the Auditorium and one in the Chapel) with specific times yet to be determined. Those who wish to attend will be asked to make reservations through the church office, indicating which service they would like to attend and the number who will be attending. This way we will be able to ensure that we are able to maintain physical distancing and not exceed our room capacity. If these three services reach capacity, we will look to offer an additional (fourth) service. We will also live stream at least one of the services on both Youtube and on Facebook.
The Board moved on to a number of DISCUSSION ITEMS.
Sunday Morning Format: The Board had a lengthy discussion about what the Sunday morning format may look like in the long term, i.e. Service times (and number of services), Sunday School, and Nursery. There was a discussion on how to best receive and gather input from the congregation. It was decided that a survey should be sent out listing possible options while also welcoming comments and suggestions.
Church Board Chair: The Board continued exploring the possibility of having a layperson chair the Church Board meetings as opposed to one of the pastors as has been done in the past. There are a number of benefits to moving in this direction, however, the Board continues to clarify the specific expectations of the Lay Chair.
